Breakwaters Consultancy Services is a Canadian firm founded in 2023 in Waterloo, Ontario, serving Canadian businesses. This notice explains website enquiries and the practical arrangements to discuss before sharing client records. The partners are responsible for privacy enquiries.

Information you choose to share

When you contact us, we receive the contact details, business information, service interests, and message you provide. This may include your name, email address, phone number, company, and an outline of the help you need. We use that information to respond, discuss a potential engagement, and manage related correspondence.

Please keep SINs, bank details, tax returns, payroll files, and login credentials out of public forms and ordinary enquiry emails. Client documents should be shared through a secure cloud portal arranged for the engagement. This website is not a document-upload portal.

Email and online submissions

An email or mailto link uses your email application and provider. Opening a prepared message does not send it; you choose whether to send it. Once sent, the message is handled by email providers and received by Breakwaters.

Our online enquiry form uses Microsoft Forms. Responses are stored in Breakwaters’ Microsoft 365 account. When the email-delivery workflow is enabled, Microsoft Power Automate sends the response to info@breakwaters.ca, where it is retained as enquiry correspondence. Nuwan and Navodanee receive copies of Info enquiries so the team can respond. Form responses are not published on this website.

The booking calendar uses Microsoft Bookings to offer times based on Nuwan’s availability. Your booking details are processed through Microsoft 365 and shared with the staff assigned to your consultation. A booking creates a calendar appointment and a Teams meeting invitation. Visitors see available appointment times, not the contents of Nuwan’s calendar.

Microsoft’s embedded forms and booking pages process information under its privacy practices. They may use cookies and technical information needed to provide those services. Use only general enquiry information in the form. If online submission is unavailable and the website offers an email-draft fallback, you must send the prepared message yourself; preparing it does not submit an enquiry.

Website tools and photographs

The website currently has no third-party analytics or advertising tracking enabled. Hosting and email providers may process technical information, such as IP addresses and delivery logs, as part of operating their services. This is separate from website marketing analytics.

Website photographs are hosted locally. Following an external link takes you to another provider’s website and privacy practices.

Service providers and information location

Email, hosting, submission, and cloud-service providers may handle information to deliver their services. Access is arranged around the work required for the engagement.

Before sharing client records, ask us to confirm the providers, access arrangements, locations, and any required disclosures for your engagement. Detailed client-data handling arrangements belong in the engagement documentation.

Retention and privacy requests

Retention and deletion arrangements are confirmed for the engagement, taking account of the work and any requirements to retain records. Contact us to ask how long your correspondence or client records are retained and how deletion requests are handled. We do not promise immediate deletion of records that must be retained.

You can use Contact to ask about information we hold, request access or correction, discuss deletion or withdrawal of consent, or raise a concern. Address your request to the partners and include only enough information to let us respond. We may need to confirm your identity through an appropriate channel before discussing personal records.
